Violations table for setting organizational rules
Admins can easily set up and customize the types of violations and corresponding actions within the system using an editable table.
- Record violations
Admins can document violations associated with specific employees manually, either to initiate and enforce an action or to maintain a record of the violation even after corrective actions have been implemented.
Example:
The admin can record a new violation, such as an employee's failure to follow health regulations, after observing the incident in order to apply the appropriate action. If the violation has occurred previously and action (e.g., a verbal warning) has already been taken, the admin can still record the violation for documentation purposes. In this case, they would check the "Action has been taken" option in the form, ensuring the violation is listed under applied violations, with no further action required.
Recorded violations report
Reports can be generated for recorded violations within a specific time period, a particular department, or based on any other data, and can be downloaded.
- Report violations
Admins and authorized users can report an employee violation, allowing the assigned team member to handle the case and take the appropriate action. Please note that reporting a violation does not grant the user the ability to take action; it is solely for describing the violation details, such as the date of occurrence and the type of violation.
After submitting the violation report, it will be added to the system as a reported violation with a pending status, allowing admins to review it and take the appropriate action.
- Various actions and features available to involved users
For admins:
- Penalties of violations can be selected, define their value, upload relevant attachments, select the visibility of the violations, request employee statement, terminate employee, take other actions, or dismiss the violation.
- Admins can also apply the defined actions, add notes about the violations, or dismiss the violations.
- Admins are able to notify employees of the violations recorded against them, with a task being added to the system accordingly.
For employees:
- Employees who have had violations reported or recorded against them can view the violation details, add statements, and dispute the violation. Admins can then reject the dispute, resolve it, modify the action, or void the violation.
- Employees receive notifications in the notification center on the web when a violation is reported against them, recorded, or action is taken regarding it.
