After you create the evaluation form, set the evaluation scope (Self / Upward / Downward), and add employees, criteria, and questions, each party’s task opens automatically on the form start date:
Self review: Employees assigned to Self submit their self-assessment against the defined criteria.
Upward review (employee → manager): Employees provide feedback about their managers—anonymous or named per the form settings.
Peer Review: Employees provide feedback about their colleagues.
Downward review (manager → employee): Users assigned as the Primary Reviewer can begin reviewing their assigned employees as soon as the form period opens.
To assign roles and set the Primary Reviewer in the Performance module, see Settings → Performance → Roles & Reviewers (Roles setup guide).
setting up performance roles in the system.
To do so:
Choose the evaluation form that you will use to evaluate the added employees.
After a manager submits an employee’s evaluation, the score or percentage will appear in the employee’s record within the evaluation form under the Downward feedback column. If the employee completes a self-review, the score will appear under the Self-Review column.
Please note: if the evaluation form has multiple cycles (e.g., quarterly repeated 3 times, or monthly repeated 4 times), only the most recent score will be displayed for the employee—such as the latest quarter or month evaluated.
Please note:
The scales, percentages and labels (e.g., 60% - Meets Expectations) or (90%- Outstanding) are editable to fulfill your business needs. You can adjust the ratings and the labels names for each score by navigating to Settings > Performance > Rating Methods. However, when any changes are made to the evaluation rating methods in the settings, the impact will only apply to evaluation forms that are in the "drafts" section or the futuristic forms in the system. This modification will not affect active, upcoming, or completed evaluation forms. Learn more details about adjusting rating methods.
Notifying Employees About the Evaluation Process
- Employees are notified at every stage of the performance evaluation process. When they are added to an evaluation form, they receive an email notification informing them of this.
- When the primary reviewer evaluates the employee, an email notification is also sent to inform them.
Can the evaluation be changed for employees after the form has been submitted by the primary reviewers?
Yes, admins, primary reviewers, or users with "Performance management" permission can request a re-evaluation by clicking the 'Request Re-open' button next to the assigned employee.
Please note that, currently, an employee who has been evaluated cannot request a reevaluation for themselves through the system.
Once the request is submitted, the primary reviewer receives an email notifying them and providing a link to the form for re-evaluating the employee.
