Performance management needs vary from one company to another. Evaluating employees based on the end date of their contracts is a preferred method that supports various business strategies. To help companies effectively use this evaluation type, multiple enhancements have been introduced to contract-based forms, offering greater control in the evaluation process.
- Extended contract durations
When adding employees to 'Contract period' evaluation forms, those with contracts of up to 7 years can now be included, supported by the latest contract system extensions. learn more about how to create a form and select its type.
When the evaluation form type is set to "Contract period" it means that only employees whose contracts expire within the current calendar year are eligible to be added to the form, regardless of the contract’s duration. Employees with contracts extending beyond the current year will not be available for inclusion.
For example, if an admin creates an "Contract period" evaluation form in 2024, and there are three employees:
- Ahmed, whose 1-year contract began in November 2023.
- Rania, whose 2-year contract started in January 2024.
- Zein, whose 6-year contract commenced in July 2020.
In this case, only Ahmed’s contract is set to expire within 2024 (in November), making him the only eligible employee for this evaluation form. Rania and Zein are ineligible because their contracts will not expire within 2024.
Evaluation forms for contracts with indefinite durations
Evaluation forms can include employees with indefinite duration contracts (open-ended contracts), allowing for annual evaluations based on the contract start date.
Form creators can easily filter employees by contract type, allowing them to select all employees with similar contracts for evaluation, so they can be listed among the employees eligible for this form evaluation.
Please note that both contract types can be selected simultaneously.
How are employees with indefinite contracts evaluated in Contract period forms?
These employees are evaluated annually, based on their contract start date, since their contracts do not have a defined end date. Employees are added to the Contract Period form, and their evaluations become effective on the start date of their contract, not its end date, as the contract has no specified end date.
Example: If an employee with a contract starting on January 6, 2023, and an open-ended duration is added to the Contract Period form, their evaluation time will be effective based on January 6 in 2024 or any subsequent year when this employee is included in the Contract Period form.
What happens to the evaluations forms if there are changes to employees' contract end dates or durations?
Evaluation periods and statuses in the evaluation form are updated based on any changes to the contract.
- If an employee's contract is updated, the 'Evaluation Period' column for that employee will adjust accordingly, and a note stating 'Employee contract got updated' will appear.
- If an employee's contract is updated with dates that do not align with the pre-defined evaluation dates, the employee's status will change to 'Not eligible,' and a note will alert the user that this employee's contract is not eligible for the form.
- A notification email is sent to the form creator and users with permissions, updating them with the new evaluation dates for employees whose contracts have been changed.
Please note that changing employees' joining dates, whether to a date before or after the current start date, will also affect the evaluation forms in which they are enrolled. The system will alert admins of this before confirming the change.
