When configuring attendance tracking settings using the geofencing feature, you can restrict the locations from which different groups of employees are allowed to clock in and out, as explained in this article. Some employees can be permitted to clock in from any location defined in the organization, others from anywhere, or based on the specific location of the employee's scheduled shift. You can also prevent some employees from clocking in from any location.
In addition to these options, you can define groups, each containing a number of locations from which attendance can be recorded, and then assign these groups to certain employees based on business need. For example, some supervisors of specific sites may be required to move between those sites only. This is what this feature enables for greater flexibility in attendance tracking methods.
To define a new location group:
1- Go to Settings > Attendance > Attendance tracking methods
2- Select the Punch locations (Geofencing only) tab to view all punch location options
3- In the Organization locations table, you will find the Any organization location option pre-defined and cannot be deleted. You will also find all previously defined location groups, if any, which can be edited or deleted
4- Click the Add location group button to begin the creation steps outlined here
5- Enter the group name, then enable the Set punch-in and punch-out locations separately option if you want to allow employees to clock in from locations different from their clock-out locations
6- Select the locations that fall under this group:
- When the above option is disabled, you will need to select only one set of locations
- When the above option is enabled, you will need to select two sets of locations. Shared locations between the two sets are allowed, but if they are completely identical, a warning message will appear guiding you to select different locations
7- Click the Next button to proceed to the employee assignment step
Tip: You can use the search, filter, and add all features to make adding employees faster and easier
8- In the final step, review the settings you have defined, then click Save
Setting a Group as the Default Option:
The default option is what will be assigned to any employee in the system unless they are manually added to another group. A system administrator can set one of the defined location groups as the default as follows:
1- From the same page, click the edit icon for the desired group
2- Enable the Set as Default option
3- A "Default" label will appear next to the group name in the table
Note: One of the fixed lists can be set as the default option (Based on schedule settings / Any organization location / Anywhere / Blocked)
