When employees are added to specific flight ticket policies in the system, a specific ticket balance is assigned to each employee based on the policy.
As this balance begins to be used—whether through flight ticket requests submitted by the employee or tickets booked through Almosafer platform by system admins on behalf of the employee—the usage is reflected in the employee’s profile. The profile displays their ticket balance along with detailed information such as consumed, remaining, or pending tickets. This helps the relevant users easily track employee flight ticket balances and requests.
Steps to access an employee’s profile to track their ticket balance details:
- From Configuration > Click on "Policies" under "Annual Flight Tickets" > Select the policy the employee is assigned to.
From within the policy, select the employee profile you wish to view from the "Enrolled Employees" list.
What details are available in the employee profile within the assigned flight Ticket Policy?
- Employee Details: This section includes information such as the employee ID, dependents covered under flight tickets (if any), nationality, and eligible destinations (if specified).
- Flight Ticket Balance: This section displays the following:
The ticket balance allocated under this policy and the policy type.
The total ticket balance available to the employee.
Remaining balance: Shows the number of tickets left from the total balance if some have already been used.
Pending: Tickets that have been booked but are still awaiting approval.
Earned, Carried forward, Custom, and Consumed: Displays the count for each of these ticket categories.
- Pending Tickets:
This section displays all tickets that have been booked but not yet fully confirmed. It includes all ticket details from Almosafer platform, such as departure and arrival destinations, flight number, cabin class, airline, current request status, and all other relevant information.
Note:
You can view the flight ticket booking details by clicking on "View Booking." When the ticket window opens, all specific booking details will be displayed, along with the available actions based on the booking status (e.g., Cancel, Modify).
- Completed Tickets:
This section displays all completed tickets for the employee that require no further action, such as completed bookings, expired tickets, or rejected requests.
