When admin users complete their company data during the onboarding stage in their new workspace, it's required to upload their employees' data to import the employee records into the system easily and all at once!
How to upload your employees' data via Excel?
After finishing the 'Complete company profile' and 'Create organization structure' steps, the 'Upload data' button will be automatically activated for clicking.
A window will appear, prompting you to complete the admin's information in order to continue. Please enter the missing data and proceed.
After completing the admin's data and clicking on 'Continue', you'll be directed to a page where you can choose one of the available methods to upload the employees' data.
Now, let's shift our focus to the 'Bulk upload using excel' method!
With this method, you'll utilize the Jisr excel template to input your employees' data, then upload it to the system in bulk.
When selecting 'Bulk upload using excel', a pop up window will appear, enabling you to download the Jisr template, fill it out, and subsequently upload it again.
Please input your employees' data into the downloaded template you've received, ensuring that all mandatory columns are filled to prevent any errors.
After completing your template and filling it with your employees' data, you will need to upload it once more.
After the upload process is complete, the name of the template sheet will be displayed along with the number of successfully uploaded employees.
What if an error occurs during the upload of employees' data?
If any issues arise with the employees' data preventing successful upload, a failure notification will be displayed. This notification will specify the number of employees that failed to upload, enabling you to review the errors and address them accordingly.
The 'See errors' button will display a table of the uploaded employees in the 'Employees data' tab, along with the corresponding errors listed as follows:
What if you only need to upload new employees to the system?
In this scenario, you can simply add your new employees to the existing Jisr template sheet and upload it. After the upload process is completed, you'll be able to see the total number of employees updated as well as the number of new employees added to the system.
Can i make bulk changes to employees' data after uploading them?
Yes, you can! You have the flexibility to edit and modify any data of your employees as follows:
Navigate to the 'Employees data' tab, select the employees whose data you want to modify. A pop-up bar will appear, indicating the number of selected employees. Click on 'Bulk update'.
You'll then be able to edit the data of the selected employees. It's important to note that any changes made will be applied to all selected employees. For instance, if you choose the employment type to be full-time, all selected employees for bulk update will have the same data. After entering the new data, click on 'Update'.
Once you have prepared and updated your employees' data according to your preferences, click on 'Finish' to complete your onboarding process. You will be then redirected to the next step and begin activating different Jisr modules to enhance your experience!
Please note that if you need to reset all of your employees' data, you can follow the below steps:
- Click on the three dots icon located at the top right of the page.
- Select 'Reset all data'.
A confirmation message will be displayed. If you still wish to reset all the data, click on 'Reset all'. Alternatively, if you prefer to keep the data and not reset them, choose 'Keep'.
