One of the common scenarios that arises is the attempt to rehire a former employee whose contract has expired, but now needs to be hired again with a valid contract in the system.
When an employee's contract expires, the admin has the option to offboard the employee or add a new contract with a starting date one day later than the end date of the expired contract.
For example, If the employee's contract ends on March 18, 2024, the newly added contract will automatically start on March 19, 2024, and it's not optional to change this start date.
However, what if a company wishes to rehire ex-employees whose contracts expired a long time ago? The optimal solution to include them in the system with their new contracts is to delete the employee profile and then add a new employee but with the same 'Employee ID'.
To do so:
From Home page, navigate to Employees
From View Employees tab, click on the employee name you want to rehire.
Be sure to save the employee ID somewhere for future reference when adding a new employee.
When viewing the employee's profile, you'll notice a note indicating that the employee's contract has expired.
To proceed, click on the three dots icon located next to the 'New request' button, and then select 'Delete Employee'.
After clicking on 'Delete Employee', a pop-up window will appear confirming the action. However, please note that the button 'Delete All Employee Information' will remain unclickable until you enter the name of the employee into the designated field. Once entered, click on 'Delete All Employee Information' to proceed with deleting this employee.
A notification will be displayed confirming the successful deletion of the employee.
Now, you can start adding a new employee, ensuring to use the same employee ID as the one deleted. To do so:
- From 'View Employees' tab, click on 'New Employee'.
- A pop-up window will appear, displaying information regarding the fees associated with adding a new employee or suggesting to replace the employee with another one.
- Click on 'Confirm' to proceed with the addition.
The 'New Employee' page will be displayed. Enter the required data for the employee, ensuring to input the same ID number used for the deleted employee. Then, click on 'Next' and complete the process accordingly.
After you complete adding the new employee to the system, this employee will be available in the system with a valid contract according to their new hiring date.
