The automatic overtime feature allows the system to calculate hours worked beyond the specified work hours in an employee's schedule as automatically approved overtime hours, without the need to submit an overtime request. Consequently, the overtime pay will be calculated in the payroll based on preconfigured overtime settings.
You can activate the automatic overtime by toggling the activation button while creating a new shift.
Once activated, you will see the "Maximum Overtime" field, which refers to the maximum allowable limit in accordance with the organization's policy for calculating overtime duration. The system admin must specify this limit in minutes.
Additionally, there will be another field that allows the system admin to determine the automatic overtime calculation method, which can be accessed by clicking on the dropdown menu and selecting the option that aligns with the organization's policy, as shown in the following image:
Automatic Overtime (After shift duration):
The system offers you two options:
-
After Completing the Required Working Hours: To begin calculating overtime, it is mandatory to complete the required work hours. The count of these hours will be displayed under the selected option, as illustrated in the following image, based on the start and end time entered in the system.
-
After Shift End Time: This duration is determined according to the maximum limit selected. The option "1 hour after shift end time" will appear, as shown in the following image, when the maximum allowable limit is set to 60 minutes.
Note:
The description under the selected option will automatically change based on the entries in the system.
Then, you can activate the option (Start Calculating after Specific Duration), which refers to the duration after which the system will begin calculating the work period completed by the employee as overtime. This duration can be specified by the system admin when configuring the settings related to defining the work shift, as demonstrated in the following video:
Note: (Start calculating after Specific Duration) is a duration that must be equal to or less than 59 minutes.
Automatic Overtime (Included in shift duration):
The system provides you with two options:
-
After completing a specific number of the required working hours (the last hour is counted as overtime). For example, if the system's defined work duration is 9 hours, to start calculating overtime, it is mandatory to complete 8 out of 9 hours to start caculate and auto-approve overtime .
-
Before shift end time: This duration is determined according to the maximum overtime entered on the system. The description under this option will appear as shown in the following image, when the maximum allowable limit is set to 60 minutes.
Note:
The description under the selected option will automatically change based on the entries in the system.
