Managing business expenses efficiently is an important part of spend management. An expense claim is a request submitted by an employee to get reimbursed for costs paid out of pocket on behalf of the company.
These expenses can include, for example, Travel and accommodation, Client entertainment and meals, Office supplies and purchases, Transportation and business-related trips, etc.
Using the Expense Management Platform, employees can easily create and submit expense claims for faster approvals and quicker reimbursements.

From the main Spend menu, open the “Expense Claim” tab and click on “Create Expense Claim”.
💡 Tip: You can also use the quick shortcut on the dashboard to reach the form instantly.
Upload your receipt directly to the claim. The system automatically captures details from the receipt image, like the amount, date, and merchant name, and pre-fills the form fields for you.
Review the details and make adjustments if necessary.
Click “Submit” to save your claim as a draft.

Click Add to Report to add a claim to an existing report.
👩💼 Admins & Team Managers
If you are a Team Manager or Admin, the Expense Claim tab gives you broader visibility and additional insights:
📌 Team’s Expenses → View all expense claims submitted by your team members.
🌐 Organization-wide Expenses (Admins only) → See all claims across the entire company.
and insights on:
Claims Pending Approval → See the number of claims awaiting your action.
Total Amount Pending → Instantly view the total value of unapproved claims.
Total Amount Approved → Track the sum of all approved claims within your scope.
