To facilitate the work of HR departments and Admins by creating automatic workflows for recurring daily tasks on the JisrHR platform. This allows the system to perform these tasks automatically on their behalf, aiming to achieve the desired benefits of automating processes on the JisrHR system.
This feature aims to achieve the following:
1. Reduce Repetitive Tasks:
- Automation frees up time by eliminating routine and repetitive tasks.
- Employees can focus on strategic and creative aspects of their jobs.
- Increases productivity and job satisfaction.
2. Minimize Distractions:
- Automation reduces manual errors and eliminates the need for constant oversight.
- Minimizes interruptions and distractions that hinder productivity.
3. Ensure Consistency and Compliance:
- Automation enforces process consistency, reducing errors.
- Ensures compliance with regulations and company policies.

- How to build a workflow automation:
To start using this feature, follow these steps:
- Navigate to the main menu and click on the icon for the Automation feature.
- Click on the Automation tab.
- Click on the "Add New Automation" button.
- Choose from the suggested triggers based on your needs to initiate automation for the following:
- Onboarding Employees.
- Offboarding Employees.
- Ending probation period.
- Reminders for delayed requests.
- Auto-approving routine requests.
- It can also be your party planner for anniversaries and events.
- It can update you on all document status and send timely reminders and tasks to renew it.
- Example:
If an employee's leave request is delayed by their line manager, we would like JisrHR system to automatically approve the request and move it to the next approver in the predefined leave workflow if the request remains pending for 2 days.
To achieve this, we will create an automatic workflow as follows:
1- Choose the type "Requested Submitted" from the list of suggested triggers.
2- Add a name in both languages Ar/En, within the "Automation Properties" section.
3- Click on the "+" sign to define and add the condition.
4- Click on the condition card you added to add a condition.
5-Choose the condition from the dropdown menu (e.g., "Pending Approval Days") within the condition details.
6- Choose the action the system should take if the condition is met (Yes) by clicking on the "+" sign and selecting an action.
7- Click on the action card ( Add Action ) to customize the action that the system should perform within the action section.
5- Choose the type of action ( Auto Approve ). and lastly, save this workflow to activate it in the system.
Notes:

Users can create multiple conditions or actions within the Workflow Automation.

Users can customize the system to perform a specific action if the condition is met (Yes) and another action if the condition is not met (No) using the "No Condition Path" option.

Users can save an automation in draft mode to activate or use it later.

Authorized users or admins can view, edit, disable, or delete all the automations created in the system.

Users can identify requests that were automatically approved by the system using the Automation tag on the requests page or through filters.

Users can define Custom Tasks in the system for Automation and configuration processes.
- The user can control and activate the automation option to run only once, when sending an email or announcement for each of the following types: (request submitted, Notifications of Employee Anniversaries & Birthdays, End of end-of-probation period Reminders, company Document Expiration Reminders, Employee Documents Expiration Reminders).
- Admin can grant permission to any user by enabling the option for " Manage Automation Workflow ", within the " Account Permissions " section.
