Admin or whoever has the relevant permission can manage org. assets that are assigned to the employees throughout Employees> Assets
On this page, the admin will be able to add & manage all org. assets as follows:
1- Adding New Assets:
Admin can add an org. asset using one of the following steps:
- Adding new assets by clicking on the ( New Asset ) button.
- Adding assets via bulk upload action using Jisr assets template.
- By clicking on the button ( Export list), if you already has uploaded a previous list of assets before, it will be downloaded to your computer so you can edit or add new assets on it.
- If not, and it's your first time to use the template of assets, click on "Upload assets" to be able to download the template, fill it, and upload it once again.
-
Please note that when adding a new asset, whether individually or through bulk upload, a unique serial number must be provided for each asset. If the asset does not have a specific serial number or if the user faces difficulty identifying one, a unique serial number should be generated by the admin/user and assigned. It is important to ensure that this serial number is not duplicated for any other asset in the system to avoid any redundancy issue may happen because of adding same assets multiple times.
Once the asset has been added, the asset status will show as ( Available )
2- Allocating Assets:
If the asset status is ( Available ), the admin can allocate it to a specific employee by clicking on ( Allocate)> select an employee > enter allocation date > click on Allocate button.
The status will change to ( Allocated )
Meanwhile, Admin can allocate assets by navigating to the employee profile ( Assets Tab ).
Admin can edit asset details:
- using the Edit action from the 3 dot menu of the asset, or by selecting the asset itself from the table
- click on the Edit button in the details window
- click the Save Changes button once done
4- Deallocating Assets:
If there is an allocated asset, the admin can deallocate it by clicking on ( deallocate ) > enter the deallocation date > click on deallocate button.
Alternatively, admins can deallocate assets from the employee profile (under the Assets Tab ).
5- Change Assets status:
Admin can change the available assets status to one of the statuses ( In-Repair, Damaged, Archive ) by selecting the asset > click on the ( ... ) button > select Mark as ( status ).
6- Asset history logs:
Admin can see all history logs & changes that happened for each asset by navigating to the history logs tab in the View Asset window.
7- Delete Asset:
Admin can delete asset by selecting the asset > by selecting the asset > click on the ( ... ) button > Delete.
8- Asset Permissions:
For Adding a new Asset Type on the setting page, the user should have an Employee profile settings permission ( under the employee profile section ).
For Org. Assets Management, the user should have Manage Assets permission - All ( under the employee profile section ).
Notes:
Asset marked as ( In-Repair, Damaged, Archive ) can't be allocated to an employee.
The system will not allow allocating assets once it is allocated to someone.
