Adding a New Employee to the System:
If you are the main user of the system (system admin) or have been granted permissions to add new employees to the system, there are two ways to add employees to the Jisr system:
- Manual addition directly through the system.
- Addition through the Excel template.
Here are the details:
1- Manual addition directly through the system:
Follow these steps:
From the homepage - and from the right sidebar menu, select "View Employees," then click on the option "Add New Employee" located at the top.
Start by filling in the required information for the employee, including:
General Information: Name in Arabic and English / Employee ID (usually representing the employee's serial number within the organization) / National ID or Residence Permit / Nationality / Employee's email address.
You can also fill in optional information by clicking on the "Optional Information" option, which includes:
Employee's Profile: Gender / Marital Status / Religion / Date of Birth / Personal Email / Mobile Number / Employer Number (700 for the establishment).
ID/Residence Details: ID/Residence Number / Place of Issuance / Residence / ID Issuance Date (Hijri) / ID Issuance Date (Gregorian) / ID Expiry Date (Hijri) / ID Expiry Date (Gregorian) / Attachment (Copy of ID/Residence).
Passport Details: Passport Number / Place of Issuance / Passport Issuance Date (Gregorian) / Passport Expiry Date (Gregorian) / Attachment (Copy of Passport).
Address in the Kingdom (National Address): Building Number / Street Name / District / City / Postal Code.
Address in Home Country: Address / City / Country.
Emergency Contact: Name / Relationship / Address / Mobile Number.
Custom Fields: Fill in the custom fields if they have been added by the admin in advance in the system.
Then click on the "Next" option to proceed to the next page, which includes:
Employment Information:
Joining Date (Gregorian), and the system will display the corresponding Hijri joining date / Job Title, which can be selected from the pre-defined list of job titles in the settings / Job Type (Full-time or Part-time, etc.) / Department (select the department the employee works in, which can also be selected from the pre-defined list of departments in the settings) / Location (current work location of the employee, which can be selected from the pre-defined list of locations in the settings) / Work Unit (which can also be selected from the pre-defined list of work units in the settings) / Grade, if applicable / Specify the direct manager / Authorization (you can specify the employee's classification and role in using the self-service system, and choose whether it has authorization as an employee, direct manager, admin, etc.).
Contract Details:
Contract Type (Fixed-Term/Indefinite)
Contract Duration (1 year/2 years/Custom)
Is the employee in the probation period? (Yes/No). If yes, it is necessary to specify the probation period in days for the employee.
Then click on the "Next" option to proceed to the next page, which includes:
Salary and Allowances:
Enter the employee's basic salary. If there are allowances specified in the employment contract, add them by selecting the "Add Allowances" option.
Payment Details:
Specify the method of salary payment for the employee, whether in cash or through bank transfer, etc. (If choosing bank or international transfer)
Health Insurance:
Enter medical insurance details if applicable (optional).
Then click on the "Next" option to proceed to the next page, which includes:
Annual Leave Balance Options:
Select the employee's annual leave balance from the options displayed on the screen, which are predefined in the settings. If you do not want to assign an annual leave entitlement to the employee, you can leave it unspecified.
Shifts:
Specify the employee's shift on this page by selecting it from the available options, which have been predefined in the settings. Alternatively, you can exempt the employee from attendance and departure policies, which exempts them from adhering to specific working hours or clocking in.
Then click on the "Next" option to proceed to the next page, which includes:
Contract Details:
Create: To create an employment contract for the employee using the Jisr system.
Attach: To attach a copy of the employment contract (authenticated contract) to the employee's file.
Then click on "Save" to complete the process, or you can click on the "Not Now" option to skip this page.
The new employee has been successfully added, and you can view the employee's information, make modifications to certain details, or add any personal documents by visiting the employee's personal page.
2- Adding via Excel template:
If you want to add a group of new employees at once to the system, follow the following steps:
A: By downloading the basic employee data template:
From the home page - and from the side menu on the left, choose (Settings) > Bulk Import/Export > Employees > Export.
Note: The admin can export/import employee template through the view employee page.
The system will export an Excel template containing all employee data that was previously added to the system. To add all new employees, list all their mandatory and optional data (if any) on the same Excel template, and then re-upload the Excel template again to the system on the same page. And follow the status of the uploaded file in the status column.
In order to complete adding the financial information for this employee, complete the next step.
B: Download the Salaries and Compensations profile template:
From the home page - and from the side menu on the left, choose (Settings) > Bulk Import/Export > Salaries & Compensations File > Export.
The system will export an Excel template containing all the employees’ financial data that was previously added to the system. To add the financial data for all the new employees who were added in the previous step, insert all their financial data (salary details, bank account details) on the same Excel template, and then Re-upload the Excel template again to the system on the same page, and follow the status of the uploaded file under the Status column.
Notice :
- The employee's name in both languages must not contain any numbers or symbols.
- The ID number and e-mail must not be used with any employee on the system before.
- You must adhere to the drop-down lists in the Excel file to ensure that the file is uploaded correctly. If you want to add any new option to the drop-down lists, you must first define it in advance in the system from the settings page.
